GROUP CANCELLATION POLICY

Cancel/change bookings
§1 The following cancellation policy applies to every reservation at VAN DER VALK, both for the rental of hotel rooms, halls, and for reservations in our restaurants.
Under "cancellation" we understand a cancellation of an entire booking. If only a few rooms or tables within a booking are canceled, we call this a "modification".
§3 If there are different cancellation conditions, they will always be displayed with the relevant offer or in the booking confirmations. This may be the case, for example, with temporary promotions, booking conditions of External Providers, VALK LOYAL benefits, or cancellation insurances.

Procedure to modify or cancel bookings
You are required to report any request for changes (such as increase or decrease in the number of guests/rooms or modification of stay dates) and any cancellations as soon as possible, in writing, or through a digital link that we provide you for this purpose.
Article 2: A modification or cancellation is only valid once it has been confirmed in writing by us. If you wish to amend your booking, we may (i) accept or refuse the modification, (ii) offer the modification for free or charge a cancellation fee based on the specified termination fees.
§3 Any form of "no-show", regardless of the reason, does not count as a valid cancellation. The total price of the reservation made remains fully due in such a case.

Severance pay & costs
Unless explicitly stated otherwise or agreed upon, in case of cancellation or change in the number of guests, participants, and/or rooms, you are required to pay a fixed cancellation fee as follows:
- Up to 85 days before the initially scheduled arrival date, the entire reservation or a part of it can be canceled without any cancellation fees.
- Between 85 and 60 days before the initially scheduled arrival date, 75% of the number of rooms, halls, participants can be canceled without any cancellation fees. Any additional cancellation will be charged at the contractual price.
- Between 60 and 45 days before the first scheduled arrival date, 50% of the number of rooms, halls, participants can be canceled without any cancellation fees. Any additional cancellation will be charged at the contractual price.
- Between 45 and 30 days before the initially scheduled arrival date, 25% of the number of rooms, halls, participants can be canceled without any cancellation fees. Any additional cancellation will be charged at the contractual price.
- Between 29 and 15 days before the initially scheduled arrival date, 10% of the number of rooms, halls, participants can be canceled without any cancellation fees. Any additional cancellation will be charged at the contractual price.
- Less than 15 days before the initially scheduled arrival date, a fixed cancellation fee is due, amounting to 100% of the price of the canceled room reservations (rooms, halls, participants).

We are always allowed to send Guests to another and equivalent Van der Valk location until the day of arrival (only valid for specific agreements).

We do not charge any administration fees for processing changes or cancellations. However, any costs already incurred and mandatory contributions (such as tourist taxes, environmental levies, etc.) will always remain your responsibility and will not be refunded.
